Business Verification & Winixx ID
FillIn is a relying party on Winixx ID â your business's identity and wallet live there, not in FillIn directly.
How linking works
When you create a business, FillIn automatically attempts to provision a matching Winixx ID Organisation. This is best-effort: your FillIn business is created either way, even if the automatic link doesn't succeed right away.
If the automatic link doesn't happen
Open SettingsGo to your business Settings from the dashboard.
Use the "Link to Winixx ID" buttonThis retries the connection manually.
Confirm your wallet appearsOnce linked, your real Winixx ID Organisation wallet balance shows on your Overview page.

Add every location under one Business, invite the managers who need access, and control exactly what each of them can do.
Adding a location
Each location gets its own address (with autocomplete), manager contact info, phone number, and an optional logo of its own â separate from your business's main logo.
Inviting your team
Send an invite by emailFrom your Team page, invite a manager by their email address.
They accept through Winixx IDThe invite is accepted by signing in with Winixx ID using the matching email.

Posting a Shift
Posting a shift takes a few minutes. The wizard walks you through everything a Pro needs to know before they show up.
The steps
SchedulePost a single shift, or several dates on a calendar, each with its own start and end time.
Position & wageChoose a role from the position catalog, then set your rate â a Recommended or Market-average figure is shown for reference, but a custom wage is always the primary option.
RequirementsDress code, accessories, and any equipment the Pro should bring or expect.
UniformSelect specific items with reference photos, or mark "no uniform required" â this step can't be skipped without deciding one way or the other.
LogisticsParking, unpaid break, and an off-site job address if the shift isn't at your usual location.

The platform fee is charged once per shift date, not once per worker â posting a shift for three Pros on the same day charges the fee once, not three times.

Funding Your Wallet
Your business's wallet lives in your Winixx ID Organisation account â funding it is what lets you post shifts on FillIn.
Where to fund it
From your FillIn Overview page, follow the link to manage your wallet. Your real, current balance is always visible from there â no separate FillIn-side balance to keep track of.
How charges work
Posting a shift charges your wallet upfront for the shift's estimated cost. If a shift is cancelled with enough notice, that charge is refunded â see Cancellations & No-Shows for the exact rules.

Keep a bit of buffer in your wallet if you tend to post shifts on short notice â an underfunded wallet is the most common reason a shift post gets blocked.

Plans change on both sides. Here's exactly what happens if you need to cancel a shift, and what happens if a Pro cancels or doesn't show.

Once a Pro has clocked in, a shift can't be cancelled through FillIn â it concludes when the Pro clocks out, and pay reflects the real time worked.
If a Pro cancels or doesn't show
Your wallet is refunded for that shift in every case, regardless of timing. Pros face their own consequences for late cancellations and no-shows on their end, to keep this from becoming a recurring problem.
Extending a shift
Need someone to stay longer? You can add up to five extra hours to an in-progress, claimed shift, at the shift's original rate.

Hiring a Pro Full-Time
Liked working with someone? You're free to hire them full-time, anytime â you just need to do it through FillIn.
How it works
If you'd like to hire a Pro you've worked with off the platform, you'll see the option right on their profile in your dashboard, along with the one-time conversion fee. There's no cost unless you actually decide to hire.

Many Pros keep picking up shifts even after going full-time somewhere â hiring someone doesn't have to mean losing access to them for extra coverage.
Hiring outside FillIn
Contacting a Pro sourced through FillIn to arrange employment directly, without going through this flow, is treated as circumventing the platform and carries a separate penalty â full detail is in the Terms.

Account Deletion
Deleting your FillIn account and deleting your Winixx ID account are two separate things â here's exactly what each one does.
Deleting your FillIn account
This removes your business's FillIn profile, shift history, and team member records. Certain records â payout, transaction, and tax-related information â are kept for as long as required by law, even after deletion.
Your Winixx ID account stays
Deleting your FillIn account does not delete your Winixx ID account. Your wallet spending history is managed by Winixx ID and remains accessible through your Winixx ID Organisation account even after your FillIn account is gone.
Deleting your Winixx ID account entirely
This is done separately, directly through Winixx ID â log in and follow the instructions there. It removes access to the entire Winixx ecosystem, not just FillIn. A 30-day grace period follows, during which you can recover the account by logging back in; after that, it's permanent.

Verification, SSN & Tax Info
The minimum age to use FillIn is 18. Before you can claim shifts, you'll complete identity verification â and we'll also collect your Social Security Number for tax purposes.
Identity verification
Verification is handled by Stripe Identity and can include a government-issued ID, such as a driver's license. FillIn doesn't store the raw document â only the verification result.
Why we ask for your SSN
In addition to identity verification, we collect your Social Security Number to verify work eligibility and, as required by law, to issue an IRS Form 1099 if you earn $600 or more in a fiscal year.

Under the hood: as part of identity verification, Stripe may use facial-matching technology to confirm a submitted ID belongs to the person presenting it. This is handled by Stripe under its own privacy practices, in addition to FillIn's.
If verification stalls
Blurry or partial ID â retake the photo with the full document visible and no glare.
Name mismatch â contact support if the name on your ID doesn't match your account.

Set your availability once, and shifts come to you â no scrolling, no chasing.
How it works
Turn on the days you're free and set a time window for each. You'll only be offered shifts that fall inside your availability, matched to roles and locations near you.

Cancellations & No-Shows
Plans change â here's exactly what happens if you need to cancel a shift you've claimed.
Cancelling with notice
Cancel more than 24 hours before the shift starts and there's no penalty at all. The business is refunded either way.
Cancelling late, or not showing up
Cancelling within 24 hours of the shift's start, or not showing up at all, counts as a late cancellation. After two of these, you may be temporarily restricted from claiming new shifts.

Life happens â one late cancellation isn't the end of the world. But a pattern of them affects your standing, so give as much notice as you can if plans change.
